When it comes to planning a wedding, finding the perfect venue is one of the most important (and oftentimes one of the most difficult) parts of the process. The location you choose will set the stage for the theme and “feel” of your wedding and it is a direct reflection of your style and what’s important to you. Most couples have certain ideas in mind for their wedding and some venues may also come with limitations. So, if you have your heart set on something in particular — say, being able to have a formal sit-down dinner for 300, then you’ll want to make sure that the venue you choose won’t prevent you from doing that.

Choose a Venue That Fits With Your Theme

The first step in choosing the right venue is to find one that fits your theme. Whether you realize it or not, every wedding has some sort of theme. We’re not talking about having a Hawaiian luau, or a Halloween-themed wedding where everyone is in costume (unless that’s what you want!). We’re talking about something that defines the look and feel of your wedding day.

Not sure where to start? First, determine if it will be traditional, alternative, or perhaps a blend of both. Do you envision it being formal where everyone wears elegant dresses and suits or more casual and laid back? Also consider your interests or a particular style that you identify with. Whether you’re all about glamor and sophistication or you’re more of the outdoorsy, country-chic type, keeping true to your unique style will be an important consideration when choosing your venue.

Size

Next on the list of considerations is size — in other words, how many people will your venue fit comfortably? If you have your heart set on a big wedding then you'll want to make sure that the location you choose will be able to accommodate everyone. If the maximum number is 250 people and you’re inviting 245, it might be a bit tight. Instead, try to allow for some extra room so people can mingle about without being elbow to elbow.

If you’re having an outdoor wedding, consider if the venue has ample indoor space to accommodate your guests in the event that the weather doesn’t cooperate. You would hate to have half of your guests sitting outside in the rain just because the venue lacks adequate indoor space to host them if your plans change.

Amenities and Options

One of the biggest determinants in choosing a venue is whether or not it has the features and amenities you’re looking for. For instance, if you’re planning to have dancing at your wedding, does the venue have a large dance floor? What about a sound system and lighting? It’s also important to consider whether or not a location has amenities that will make your life easier and your day that much better. For instance, it’s nice to have designated rooms for the bride and groom to get ready. Also, consider the convenience of on-site catering or bar service. The less you have to coordinate between multiple outside businesses, the less likely something is to get messed up, forgotten, or overlooked.

As we already mentioned above, if you plan to have an outdoor wedding, make sure your venue has ample indoor space ready to go in case the weather turns bad. Although no one likes to think about the weather being anything but perfect and sunny on their special day, things happen, and a freak rainstorm without a backup plan is a surefire way to ruin a perfect wedding.

One more thing to consider with regard to amenities and options is how much freedom you’ll have in choosing them and personalizing your wedding. For instance, when it comes to catering, some venues don’t allow any outside catering. Using the provided catering may make things easier, but you’ll want to try the food ahead of time to make sure that you like the type of food they make and that they can create the menu you want.

Nearby Accommodations

The location of your wedding venue and how close it is to nearby accommodations might not be the first thing that you think of, but it is something that you’ll need to consider. This is especially important for guests that are coming in from out of town. If you choose a venue that is remote and secluded, it might influence how many guests come to your wedding. If it’s too far from lodging or a major airport, guests might think twice before sending in their RSVP.

Even if most of your guests are local, they might prefer to stay close to the wedding venue at the end of the night. After hours of dancing and festivities the last thing you usually feel like doing is having to get in a car and drive (even a relatively short distance) to get home.

Cost

Once you’ve determined some of the basics of what you’re looking for in a wedding venue, you’ll want to start looking at some that fit within your budget. Although you might not want to think about price on the most important day in your life, setting and staying within a budget can help you make the right decisions and prevent you from starting your marriage under a load of debt.

There are many things to consider besides just the cost to rent the facility. Consider what you get for your money — is anything included besides the location? Can you add/subtract options to better fit your needs?
